Word cannot save to Network Drive

when a client couldn't create quotes on one of her PCs using Amphis Customer CRM software, we were a bit puzzled. the other PCs were running the same software and had the same network settings, and were successfully saving Microsoft Word documents such as quotes and invoices to a shared folder on the server.

it looked like a permissions problem, but the same network user was being used to connect to the server from all the PCs.

the error message said "Cannot Save Word Document" although the IT dept confirmed that the Microsoft Word document was in fact being created and saved ok, but then being overwritten by the template.

it seemed like Microsoft Word was acting a bit strange but a re-install of Microsoft Office didn't help.

the answer came from google where a number of posts recorded problems with Microsoft Word saving to network drives with the culprit being the antivirus software set to protect network drives.

so the solution.... was to change the settings of Kaspersky to stop it protecting network drives from that PC. now Microsoft Word works fine and the user can create quotes and other documents ok with Amphis Customer CRM software.

The phones come with Office and SharePoint integration. The UI is refreshing and we think Windows Phone 7 is ahead of the competition.

Need an automatic letter refusing an order until payment has been received

A client wanted to automatically create a letter refusing a customer order if they were late paying an outstanding invoice, until the outstanding balance had been paid.

Here's the simple solution...

Amphis Customer already has the facility to send a Payment Reminder automatically giving the amount already paid and the amount outstanding, so all we have to do is make a copy of that Word template and change it slightly to effectively say "sorry we can't process your order until payment has been received"

so...

go to Tools->Folders->View Templates folder and then go to the Reminder folder. make a copy of reminder.doc and call it unpaidinvoice.doc

then if you change the text to something like this

Dear <!title!> <!firstname!> <!lastname!>
Thank you for your order but unfortunately, invoice <!invoicenumber!> dated <!invoicedate!> for <!invoiceamount!> has not been fully paid
We have received payments of <!invoicepayments!> and the outstanding balance is <!invoiceoutstanding!>

We will be happy to accept your order once the outstanding balance has been paid.

then, whenever you want to send a letter stating that the customer's order cannot be processed until the amount outstanding has been paid...

simply go the Account tab, click on the invoice that hasn't been fully paid, click Create Reminder and then select unpaidinvoice.doc as the template to use.

that will generate a letter like this

Dear Mr Jackson
Thank you for your order but unfortunately, invoice 300510 dated 10/10/2010 for $58.75 has not been fully paid

We have received payments of $10.00 and the outstanding balance is $48.75

We will be happy to accept your order once the outstanding balance has been paid.

which you either Email as a PDF file, or simply print along with a mailing label.

we sometimes hear that someone using our Amphis Customer CRM Software has made a mistake when creating an invoice or assigned a receipt to the wrong invoice by mistake.

and they are often worried about how difficult it is going to be to correct their mistake.

they are always very glad to hear that all they have to do is go to the Customer History tab, select the appropriate history entry they want to change or delete, and click the relevant button ie Edit History Entry or Delete History entry. that's all there is to it.

we designed Amphis Customer CRM to be as easy to use as possible. if you make a mistake when creating an invoice or receipt, or you want to amend it for any other reason, just select it and click Edit. if you want to delete something, just select it and click Delete. the calculations and statuses are automatically regenerated eg if you delete a receipt for an invoice that had a status of Paid then it now becomes Due or Overdue.

we are amazed at how difficult this operation can be in some other software we don't want to mention.

we are investigating this issue but in the mean time you should be able to install Amphis Customer using this workaround as follows :-

click on the Start menu at the bottom left of the screen and click on the Run... option just above the shutdown icon

this should display the Run dialog box. type cmd and press OK

that should display a dialog box with a black background

make a note of the folder the dialog it is showing. it will be something like c:\users\

move the downloaded amphiscustomer.msi file to the folder that is displayed in the dialog box

in the dialog box type the following and press Return

msiexec /qb /I amphiscustomer.msi

the most popular request for enhancing our Amphis Customer contact management software is the addition of customer jobs / projects / folders so that you can create multiple jobs (or whatever you care to call them) for a customer and then assign quotes, invoices and other documents and history items to a particular job for a particular customer.

so that's what we are working on now......

you'll be able to create jobs for a customer (and call them projects or folders or something else if you prefer) and then organize the customer history by assigning quotes, invoices and other items to a particular job.

as always, we don't charge for upgrades so existing licensed users will be able to upgrade for free to the new version. we are hoping to release the new version later this year.

If a client calls you, and says "This is Mrs Lewis from Cambridge", you should be able to find that customer record in seconds by just typing in her name and where she is from into your CRM Software.

just go to Reports->Custom Report Builder in Amphis Customer, create a new report and add this SQL. (you don't have to understand any of it, just copy and paste it)

here's a variation on a custom report for customers we have never invoiced.

it shows the customer details ie name, address, company and also the group or groups they belong to

(groups can be used to organize customers and also to perform mail merge operations)

do you think you have adequate backups of your data ? and your software ?

very few businesses we have dealt with (large or small) really have adequate backups.

so here's the challenge....

remove one or 2 PCs from your office late at night...

(maybe pretend they have been stolen)

the next day, start with a new installation of Windows and see how long it takes to get all the software back up and running and all the data set up again so you can continue running your business.

if you are back up and running in no time... with no data lost... congratulations !

if not, it's a good job it's only a practise, you might have some disaster recovery planning to think about :-)

(and if all your backups are in the same room, pretend there has been a fire and repeat the challenge as above but with no access to the building)

A Microsoft Access database may need some periodic maintenance.

There is a Compact and Repair Utility built-in to Microsoft Access which can be used to reclaim space (a Microsoft Access database does not get automatically smaller when you delete anything from it) and organise data storage more efficiently. It can also detect and correct any internal errors and corruption within the database.

Performing a Compact and Repair can dramatically reduce the size of a Microsoft Access database which particlulary improves performance and reliability when sharing the database over a network.

To perform a Compact and Repair in Access 2007, open the database file and click on the Office Button (the round button in the top left of the form - in the ribbon) and then select Manage ->Compact and Repair Database.

In earlier versions of Access the option was under Tools->Database Utilities.

well... we are now working on Amphis WebCRMView which will be a FREE Web CRM that enables you to view (not update) customer details held in an Amphis Customer database using a browser.

the idea is that you will use Amphis Customer to create and edit customer details, but you will have the additional option of viewing customer details using a browser. depending on how you configure your network, you could view customer details using a browser on your office intranet or on the public internet.

Outlook not responding

have you ever seen the Outlook (Not Responding) message ?

if your pst file approaches 2Gb, this can cause problems with Outlook

first, check where your pst file lives by clicking Tools->Account Settings

click on the Data Files tab and click Open Folder

you'll see your Outlook.pst file and its size

if it's approaching 2Gb you'll need to...

--delete some emails, especially ones with large attachments (which puts them in the Deleted Items folder)

--right-click on the Deleted Items folder and empty it

but.... still the pst file doesn't get smaller...

there's one more thing you have to do...

Right-click on Personal Folders and click Properties for "Personal Folders" ...

click on Advanced

click on Compact Now

Warning... this might take a few hours to run...

but it will shrink you pst file.

If you have ever seen this error

"The feature you are trying to use is on a network resource that is unavailable"

and wondered what it means...

It can be caused by installing Microsoft Office with some features installed as

Install on First Use

Then later when you or your software tries to use those facilities marked as Install on First Use, Office will try to access the .msi file that you used to install Office in order to install those facilities that you are trying to use for the first time.

Sometimes this won't work because you installed from a network drive that isn't available, or because the CD isn't in the drive.

To fix this problem, insert the Office CD, choose Add/Change and change all products to "Run from My Computer". This means that all products will be fully installed on your PC and will not try to access some resource elsewhere when you try to use them.

RAID 0 or RAID 1

one of our disk drives recently had a hardware fault. it was part of a RAID 0 array which means that data is broken into blocks and written to separate disks.

RAID 0 is great for performance but it's not fault tolerant which means that if there is a fault on either disk, then you lose all the data.

luckily we back everything up very often, many times per day.

we are going to use RAID 1 in future, which means that if one disk fails, you still have all the data on the other disk.

its easy to track unpaid invoices in Amphis Customer. first of all, on the summary page for today you'll see any overdue invoices in red

from there you can click through to the customer details including the account page which shows the invoice has been part paid but is now overdue

and shows the details of the payments received, as well as the overall balance for the customer

and then at the click of a button you can automatically generate a payment reminder which automatically displays the amount received and the balance outstanding. all the wording/fonts etc are customizable using standard Microsoft Word facilities and you can add your company logo, address etc

and of course, you can email this reminder to the customer at the click of a button.

(as always, this works in any currency and works in your local date format)
